How teams work in GetCalendario

A team puts a group of GetCalendario users on one bill and under one set of house rules. One person, the Owner, pays for everyone and runs the team, with helpers if they want them. The people on the team keep their own accounts, calendars, connections and rules. The team never sees any of that: see What a team can and cannot see.
Anyone with their own GetCalendario account can start a team from People & Team (a secondary account cannot). Team prices are on the pricing page; for Enterprise, talk to us. A team's free trial starts once five people are actively using GetCalendario.
The short version
- A team is billing and administration, not a shared calendar. Everyone on it still syncs their own calendars.
- The Owner pays and can do everything. Admins help run the team. Everyone else is a member.
- Each person is either Managed (signs in with a company address the team has verified) or Sponsored (any other address). Managed means the account belongs to the team. Sponsored means the person owns it and the team only pays.
- People get on a team by accepting an invitation, with one exception: accounts at a domain the team has proved it owns.
- The team can set rules for its members, called policies.
Who is on a team
The Owner is the person who started the team. They can do everything, including the two things nobody else can be given: handing the team to someone else and closing it. The Owner can choose not to use GetCalendario themselves and only pay, in which case they do not take a seat. See Who owns a team.
Admins are a group the Owner fills. By default they can do everything about running the team (inviting, domains, removing people, policies, groups and the activity log), except managing billing. They cannot close the team or hand it over.
Members use GetCalendario on the team's bill and do not run the team.
Who can do what is set by groups, and abilities add up. Every team has two built-in groups. Everyone holds every member and starts with the things people do with GetCalendario: creating syncs, sharing Calendar Views, setting up backups and having secondary accounts. Admins is the starter group for running the team. The Owner can make more groups, such as a Finance group that can only manage billing. The details are in Team groups and permissions.
Managed and Sponsored
The difference is decided by the sign-in address, never by choice. On the team that has verified fabrikam.com, someone who signs in as dana@fabrikam.com is Managed. A contractor who signs in with a Gmail address is Sponsored. Public mail such as Gmail or Outlook.com can never be claimed as a company domain. How people join
Everyone accepts for themselves, except at a domain the team has proved it owns by a DNS record.
- Email invitations and invitation lists. The person clicks Join. See How to invite someone to your team.
- A join link. Anyone who uses it waits for approval from someone allowed to approve.
- A company domain. Verifying a domain by email invites the people already using GetCalendario at it. Verifying by DNS brings in every verified account at that address as Managed, and anyone who signs up there later. See How people with your company email join your team.
A person can be on one team at a time. New members land in Everyone, plus any groups named on their invitation.
Who pays, and when
A team begins as Forming. Nobody pays and the team gives its members nothing yet: everyone stays on their own trial, plan or Free. When five people are actively using GetCalendario (each has connected a calendar account that no other member has connected, and has a sync that has completed), the team gets a free 30-day trial. What a team can set
The Owner, or anyone with the ability, can switch on four policies once the trial has started: require two-factor sign-in at a level the Owner picks, limit which calendar providers Managed members can connect, limit where company calendars may sync to, and turn off secondary accounts. Each one shows a preview of who is affected, by name and count, and takes effect now or in 14 days. See Team policies.
When people leave
- A Sponsored member can leave at any time, or be removed. They keep the team's features for 14 days, then go back to their own plan or Free.
- A Managed member cannot leave once the team's trial has started. Someone who runs the team removes them (their account is frozen and what GetCalendario copied is taken back off, restorable for 30 days) or releases them (company-domain calendars are cut off, the rest keeps working).
- The Owner cannot leave. They hand the team over or close it. If an Owner goes quiet, someone allowed to take over can ask to, and the Owner has seven days to refuse.
