How people with your company email join your team

If your people sign in to GetCalendario with a company email address, you can claim that domain for your team instead of inviting each person by hand. You prove the domain is yours in one of two ways. Which you choose decides whether people get an invitation to accept, or are brought onto the team as soon as the DNS check passes.

Both are on the Domains tab of People & Team. Only someone allowed to manage domains sees it, normally an Owner or Admin.

The two ways to verify a domain

With your email. Type the domain, for example fabrikam.com, and click Claim with my email. This works only when you are signed in with a verified address at that domain. If not, the button is switched off and says "Sign in with an address at this domain to claim it this way". The domain is then labeled "Verified by email".

With DNS. Type the domain and click Verify with DNS. The page shows a TXT record to add at your DNS provider, with a Name (shown as @ when it is the domain itself) and a Value that starts with getcalendario-verification= followed by a code made for your team. Each field has a Copy button. Add the record, then click Check now. DNS changes can take up to an hour. The domain is labeled "Waiting for DNS" until the record is found, then "Verified by DNS". A domain verified by email can be upgraded with Verify with DNS too.

Most teams never need DNS. It is for when you want every account at your domain on the team without anyone having to accept.

What happens after an email claim

GetCalendario invites every existing GetCalendario user whose sign-in address is at that exact domain and has been verified. People who run their own team, are part of someone else's account, are already on another team, were removed from yours, or whom you released are not invited. You see only a count: "Invited 7 people who already use GetCalendario", and later "Invitations sent to people at your domains: 7 waiting". You learn who they are only if they accept. Nudge everyone pending reminds them all together, and can be used again after three days.

Someone who signs up at the domain later and verifies their email address is offered an invitation too. Each person decides for themselves. The invitation appears on their Home page as " will pay for your GetCalendario", with Join and Not interested, and in an email.

What happens after a DNS claim

Everyone with a verified sign-in address at the domain joins as a Managed member once the check passes. That includes people who were on another team, who move to yours. Each person gets one email: "Your GetCalendario account is now managed by 's team." It says the team pays and can set rules for the account, and that their calendars, connections and rules stay as they are. Anyone who signs up there later and verifies their address joins too.

Some people are skipped: those who run a team of their own, are part of someone else's account, were removed from or released by your team, or have not verified their address yet. The Domains tab reports how many and why, for example "Brought in 12 people. Skipped: 1 runs another team."

DNS also lets you add people directly. Under Add people at your domain, type addresses at your DNS-verified domains and click Add them. They join immediately and get an email. If an address has no account, one is created and they are emailed to set a password. With only an email claim, the box says "Needs DNS verification" and explains how.

A DNS record also takes a domain away from another team that only claimed it by email.

What a member sees

Someone at a claimed domain keeps their calendars, connections and rules. What changes is who pays. They are labeled Managed on the team's member list, and the team never sees their calendars or events. Managed members cannot change their sign-in address to one outside the team's domains, and cannot delete their account once the team is past getting started. Limits and rules

  • Public mail such as Gmail, Outlook.com or Yahoo can never be claimed.
  • A domain belongs to one team. If another team already holds it, you see "Another team already uses fabrikam.com. If it's yours, verify it with DNS to take it over."
  • A subdomain such as sub.fabrikam.com counts as a different domain.
  • If you claim a domain with your email and more than 1,000 GetCalendario accounts there have a verified address, the claim is refused with a message to contact support.
  • While the team's syncing is paused because its bill is unpaid, nobody is brought in by the domain or added directly; the domain's report counts them as not able to join. They join later by invitation, by being added, or when they next verify an address at the domain.
  • Removing a domain makes people at it Sponsored members, withdraws any invitations still waiting for it, and asks you to confirm first.
