How to invite someone to your team

You invite people to a team from the People & Team page. Open the Team tab, then Invitations to invite by email address or by uploading a list, or Link to make a join link you can post or send. Everyone you bring in gets their own GetCalendario account and their own syncs. The team pays for them.
Only an Owner or Admin can invite, unless the team has given someone that ability through a group. See Team groups and permissions. If you have not started a team yet, People & Team shows a "Start a team" button first.
Invite by email
- Open People & Team, then Team, then Invitations.
- In Email addresses, type or paste one or more addresses, separated by commas or new lines.
- If the page shows "Add them to groups (optional)", tick any groups you want them placed in. Everyone also joins the "Everyone" group.
- Click Send invitations.
A summary appears, for example "Invited 3. Already invited: 1." It can also say "Already on the team", "Declined recently", "Not valid", or "Try again tomorrow".
Invite from a list
Under Upload a list, choose a file and click Send invitations. Use one person per line, or a spreadsheet saved as CSV with an email column, with up to 500 people. Lines that cannot be used are listed as "Line 4: reason" instead of being skipped silently.
What the person receives
They get an email: "
On that page the person chooses:
- Sign in to accept or Create an account, if they are not signed in.
- Join
, once they are signed in with the address you invited and have verified it. - Not interested, which tells GetCalendario not to remind them again.
Someone who hasn't already said yes to product news also sees the same unticked box as on the sign-up page, "Send me product news and tips. You can switch this off any time in Settings." Only a tick signs them up, and leaving it empty never switches off a yes they gave before. The join link page and the secondary-account invitation page show the same box.
If they are signed in under a different address, the page says so and offers Sign in with a different account. If they are already on another team, it says "You're on
Keeping track of invitations
The Invitations list shows each address with its state: "Sent" with a date, "Opened", "Expired" or "Not interested". Beside a waiting invitation:
- Nudge sends a reminder. It can be used again after three days.
- Copy link copies that person's personal invitation link so you can send it yourself.
- Withdraw cancels it, after asking you to confirm.
- Send again appears when it has expired.
GetCalendario also reminds people who have not answered, on days 2, 5 and 12 after the invitation, and not after that. An invitation expires 30 days after it was sent.
Limits that apply
A person can be sent up to three invitation emails in a day, counting reminders. A team can send 500 a day, or 50 a day while it is still forming and has no one but its Owner. Someone who clicked Not interested can be invited again after 90 days.
Invite with a join link
A link suits a group where you do not know everyone's address.
- Open Team, then Link, and click Create a join link.
- Optionally set Expires after (Never, 1, 7, 30 or 90 days) and Limit to a number of uses, from 1 to 1000.
- Copy the link right away. For safety it is not shown again.
Using the link never adds someone on its own. The person opens it, signs in and clicks Ask to join, and a request appears under Requests to join with their name and email. Click Approve or Decline. They get an email when approved. If you decline, they can ask again after 90 days.
To replace a link, click Make a new link; the old one stops working at once. Switch off stops it working right away.

What to know
While the team's syncing is paused because its bill is unpaid, nobody can be invited or join: invitations can't be sent or accepted, and join requests can't be made or approved. The Invitations tab says why. See What happens if the team bill is unpaid.
