Leaving, removing and releasing people from a team

People come and go. This page covers the three ways someone ends up off a team, what each one does to their account, and what the team can see afterward. If the words Managed and Sponsored are new, read Team members: Owner, Admin, Managed and Sponsored first.

Leaving a team

A Sponsored member can leave any time, except in the first 7 days after the team lapses. During that week the team has time to sort out its plan, and People & Team shows the date leaving opens instead of the button. Removing and releasing are not held up, and nor is anyone if the team is closed. Otherwise, open People & Team and choose Leave team. Their account, calendars and syncs stay theirs. If the team is covering them, they keep the team's features for 14 days (or until the team's own grace ends, if that comes first), and the team stops paying for their seat that day. A team still getting started gives no extra time, because it was not covering them yet. After that they are back on their own plan if it is still running, and on Free if it is not.

A Managed member cannot leave once the team is past getting started (on its trial, paid or lapsed), because the account belongs to the team. While the team is still getting started, before the trial begins, a Managed member can leave. After that, someone who runs the team has to remove or release them.

The Owner cannot leave. The Owner has to hand the team over or close it first. See "Handing the team over, and closing it" below.

Removing someone

Someone who runs the team can remove a member from the Members tab. What happens depends on whose account it is.

A Sponsored member is treated as if they had left. If the team is covering them, they keep its features for up to 14 days, then go back to their own plan or Free. Nothing is frozen, and their account and calendars stay theirs.

A Managed member, once the team has started, has their account frozen. The dialog is called Remove and freeze, and it says what will happen:

  • Every sync stops right away.
  • GetCalendario takes the copies it made back off, on both sides of every sync.
  • Links they shared, AI assistants they connected, and their nightly backups stop.
  • They see only "Your access was removed by" the team's name, and can sign out.
  • If they were paying for their own plan, it ends.

You can restore them for 30 days. Restoring brings back their syncs, rules, plan and backups. Links they shared and AI assistants they connected stay off, and they can set those up again. A person who was an Admin comes back as a regular member. After 30 days the account is deleted.

While the team is still getting started, Remove just takes the person off the team. Nobody is locked in yet, so nothing is frozen.

You cannot remove the Owner, or yourself (use Leave team for that), or someone who can do things on the team that you cannot.

Releasing someone

Release is for letting a Managed member go while they keep working. It is only available once the team is past getting started: on its trial, paid or lapsed. While the team is getting started, use Remove.

Release cuts off only the calendars at the company's domains. GetCalendario first takes back the copies it made from those calendars, in both directions, and then disconnects those accounts. Everything else in the person's account keeps working: if the team was covering them, up to 14 days on the team's features, then on their own plan or Free.

We ask the person to switch their sign-in address to a personal one, because their current address belongs to the company. A release cannot be undone.

A personal calendar that was shared into the company account is left alone. It belongs to the person, so release does not cut it off.

Handing the team over, and closing it

Only the Owner can hand the team over or close it, and nobody can be given the right to do either.

Handing the team over

On the Members tab, choose Make Owner… on the person's row and confirm with Send offer. You need to have signed in within the last 15 minutes. The new Owner has to be on the team and have a verified email address; if they have not verified it yet, the item says so. Nothing changes until they accept the offer on People & Team; it ends after 7 days if they don't answer, and you can withdraw it while it waits. See how to hand your team to someone else.

  • Once they accept, the new Owner takes over the team's billing. Receipts go to their email address from now on.
  • If you had a seat on the team, you stay on as an Admin. If you only paid and never took a seat, you are off the team once you no longer own it.
  • Both of you get an email.
  • Anyone who had asked to take the team over (see below) is told their request ended.

Taking over a team whose Owner has gone quiet

If the Owner has stopped looking after the team, someone allowed to take it over can ask to. Today that is the Admins. They choose Take over the team… on People & Team and confirm with Ask to take over. They need to have signed in within the last 15 minutes, and a verified email address of their own.

  • The Owner is emailed straight away and has 7 days to say no. The email, the page and the dialog show the deadline in each person's own time zone.
  • Saying no takes two clicks from the email: the link in it opens a page, and Keep the team on that page does it. The Owner does not have to sign in.
  • If the Owner does not say no, the person becomes the Owner within the hour after the 7 days are up, and the old Owner stays on as an Admin if they had a seat.
  • A team has one open request at a time. If someone else asks while one is open, they are told who asked and until when. Several people can ask one after another.
  • If the Owner says no, that person cannot ask again for 30 days. They get an email saying so.
  • A request ends, and the person is told, if they leave the team, lose the right to take it over, or the team gets a new Owner first.
  • Once the 7 days are up it is too late to say no.

Closing the team

Choose Close team… at the bottom of the team card. You need to have signed in within the last 15 minutes, and you type the team's name to confirm.

  • Nothing more is charged, and nothing is refunded. The subscription stops at the end of the period already paid, or right away if a payment is overdue.
  • Everyone else keeps the team's features for usually 14 days, then goes back to their own plan or Free. It is shorter for a team that has been lapsed for a while, and there is none for a team still getting started, because it was not covering anyone yet. The dialog tells you which applies.
  • If the team has company domains, you choose what happens to the people at them. Release (the default) cuts off only their company calendars, as in Releasing someone above. Remove and freeze cuts them off now. Because the team will be gone, they cannot be restored, and their accounts are deleted after 30 days.
  • Your own account stays yours.
  • The team is closed in the background, so it can take a little while for a large team. You get an email when it is done. Until then People & Team shows how many people are still coming off.
  • The activity log and the history of who left and when are kept.
  • While the team is closing, nobody can join, be invited, take the team over, or be handed it.

If you own a team and want to delete your account

Hand the team over or close it first on People & Team. If the team is still closing, wait for the email that says it is done, and then you can delete your account.

What GetCalendario cannot promise

If someone already took away GetCalendario's access to a calendar, we can't reach the copies there. Anything already exported, or in a backup file someone keeps, is out of our reach. The cleanup report says when this happened: it says plainly when a calendar could not be reached, so you know to remove those copies by hand.

The activity log

The Activity tab on People & Team lists what has happened on the team, newest first, with who did it and when. It is shown to the people the team allows to see it: the Owner and Admins.

It records invitations, approvals, people joining, domains added and removed, and every leave, removal, release and restore. It never shows calendar content: no events, no calendar names, no rules. If a person later deletes their account, their name in the log is replaced by "a deleted account".
