What to do when a team Owner has gone quiet

If the Owner of your team has stopped looking after it, an Admin can ask to take it over. Open People & Team, choose Take over the team..., and confirm with Ask to take over. GetCalendario emails the Owner, who has 7 days to say no. If they do not, the person who asked becomes the Owner.

The Owner is warned first. Nothing changes during those 7 days, and they can stop the request with two clicks. For what the Owner is, see who owns a team.

Who can ask?

Anyone who holds the ability called Take over the team if the Owner goes quiet. By default that is the Admins. A team can also give the ability to a custom group; see Team groups and permissions. Members who are not Admins and are not in such a group cannot ask. The Owner has no button to press.

The person asking also needs a verified email address and must have signed in within the last 15 minutes. If it has been longer, you are asked to sign in again first.

Steps for the person asking

  1. Open People & Team.
  2. Choose Take over the team.... It is a quiet text button on the team card. If it is dimmed, choosing it tells you why you cannot ask right now.
  3. The dialog is titled "Take over [team name]?". It says to use this if the Owner has stopped looking after the team, that the Owner will be emailed and has 7 days to say no, and that if they do not, you become the Owner.
  4. Choose Ask to take over.

The page then shows the date and time the Owner has until, in your own time zone: "You asked to take over the team. Unless [Owner] says no, you'll be the Owner on [date]."

What the Owner sees

The Owner gets an email with the subject [Name] asked to take over [team name]'s team. It says that unless they say no, the person becomes the Owner on the date given. The button, Review the request, opens a page that shows who asked and the date it goes through unless the Owner says no. Pressing Keep the team on that page says no.

The Owner does not have to sign in to do this. Opening the page changes nothing by itself, so a mail scanner following the link cannot refuse the request for them. The Owner also sees a banner with the same Keep the team button on People & Team.

What happens next

If the Owner says no. The team stays as it was. The person who asked gets an email titled [Owner] is keeping [team name]'s team, and cannot ask again for 30 days. After a no, a refusal on the page tells them the date they can ask again.

If the Owner does nothing. Once the 7 days are up, the request goes through. This is checked every hour, so it can take up to an hour after the deadline. The person who asked becomes the Owner, and the old Owner stays on as an Admin if they had a seat. Both get an email. The new Owner's is titled You own [team name]'s team on GetCalendario now. The old Owner's is titled [Name] owns [team name]'s team now and tells them to contact support if the change was not expected. After the 7 days, it is too late to say no.

If something changes meanwhile. The request ends, and the person who asked gets an email titled Your request to take over [team name]'s team ended, with the reason:

  • The team has a new Owner.
  • They no longer have permission to take over the team. This also covers someone who left the team or whose email address is no longer verified.
  • The team was closed.

What changes when a takeover goes through

It is the same as a hand-over. The new Owner takes over billing, and receipts go to their email address. The card already on file stays and keeps paying until the new Owner adds their own from the card link on People & Team, which opens the billing portal. See how to hand your team to someone else.

What to know

  • A team has one open request at a time. If someone else asks while one is open, they are told who asked and until when. Several people can ask one after another.
  • The 7 days run from your request. If the warning email could not be sent, the request cannot go through until it has been sent, and the 7 days restart from the resend, so the Owner always gets all of them. The Owner always gets all of them.
  • Nobody can take over a team that is being closed. See how to close a team.
