What to look for in a calendar sync tool

Plenty of tools copy an event from one calendar to another. The differences show up on the day something goes wrong, when your team grows, and when the bill arrives. Here is what we would check, and how we answer each one.

Most calendar tools are built for one person and stretched to fit a company. We built the team side deliberately, and it is the part we are proudest of.

Bring people in

Invite people by email, or let anyone with your company's email address find and join your team. Nobody connects a calendar they do not choose to.

Decide who can do what

Owners, admins and members, plus groups with their own abilities, so the person who pays is not always the person who sets things up.

Set the rules once

Require two-factor sign-in, limit which calendar providers can connect, limit where copies can go, or turn off secondary accounts. You choose whether a rule starts now or gives people 14 days.

People leave cleanly

When someone leaves or is removed, we take back the copies GetCalendario wrote onto their calendars, keep a restore window, and send a departure report.

Private by design

Managing a team means managing people and policies. It does not give an admin a window into anyone's calendar.

What we do and do not do

Said plainly

GetCalendario works with Google and Microsoft calendars. Apple / iCloud: read (sync from) now, write coming. You can copy an Apple calendar onto Google or Microsoft today, not the other way yet, and Apple changes are picked up within 5–30 minutes depending on your plan. A connection copies one way, so keeping two calendars fully in step takes two connections. We would rather tell you that now than have you find out later.

What to look for in a calendar sync tool

Six questions worth asking of anything you are about to trust with your calendar. These are our answers.

Does it check before it starts?

Ours does, twice. Before we copy anything we put two test events on the other calendar and take them straight back off, just to be sure we are allowed to write there. Then we copy two of your real events across and ask you to go and look at them. Only when you say "yes, that looks right" do we do the rest.

What happens the day something goes wrong?

We take a copy of every one of your calendars, every night, and keep it for 30 days. Deleted the wrong thing? Someone tidied a shared calendar? Open the day it was still there and download it back. You can put a password on those copies, and if you do, even we cannot read them.

How far ahead does it look?

Up to two years ahead and a year behind, on our biggest plan. A lot of tools only look a few weeks out, which is fine right up until you book something in March and nobody else's calendar knows about it.

How much shows up on the other calendar?

As much or as little as you like. The whole event, or just a block that says "busy" with no details at all. Private things stay private. You can skip anything in a particular color, so the school run never lands in your work diary. And you can add a little label, so you can tell a copy from the original at a glance.

What does it cost to try?

Nothing. A new account starts with 14 days of Premium, and no card is asked for. After that you can stay on our free plan for as long as you like: 2 calendar accounts, one sync, a month ahead and a week behind. Nothing expires.
