How to sync only the events that match

Most connections copy everything from one calendar to another, and rules leave things out. That works until the calendar you are copying from is mostly noise, like a busy shared calendar or a feed with hundreds of events, and you only want a few of them. Then leaving things out one rule at a time is hopeless.
So each connection has a style:

Most people want Everything, except…. Pick Only what matches… when you want a handful of events from a calendar, not the whole thing.
Set it up on a new connection

Choose the two calendars, then press Continue.

Under What should come across?, choose Only what matches….

Add at least one Sync it rule: for example, the title contains "Business", the category is Green, or only repeating events. Pick what to look at, then press Add rule.
Labels and categories need a Google or Outlook calendar as the source. A calendar feed or an Apple calendar can still use words, repeating events, all-day events, how long an event is, and the hours it starts in.

Carry on through the rest of the steps as usual.
An event that matches any one of your Sync it rules is copied. Everything else stays where it is.
Copy these, but not those
Use a Don't Sync rule for the exceptions. To copy everything in the Green category except anything with "Mahjong" in the title, add two rules:
- If the category is Green → Sync it
- If the title contains "Mahjong" → Don't Sync
Don't Sync always wins, so "Mahjong night" stays off even though it is Green. Add exceptions in Fine-tuning on a new connection, or on the Sync Rules page later.
Change an existing connection
Open the connection and choose Edit settings. Under What should come across?, pick the other style and press Review this change. You see what it does before anything happens:
- Switching to Only what matches… says how many copies will be removed from the other calendar, and how many events stay.
- Switching to Everything, except… says about how many events will start coming across.
Press Make the change to go ahead. Switching back to Everything, except… keeps your Sync it rules saved, so switching again later brings them straight back.
Good to know
- Plans: Only what matches is included on every paid plan. On Basic, Sync it rules match words in the title, notes or location; matching a label, category or a property like "repeating" needs Premium, as for any other rule.
- At least one rule: a connection set to Only what matches always has at least one Sync it rule switched on. GetCalendario won't let you delete or switch off the last one, because the connection would then copy nothing at all.
- Short words: a keyword set to Contains needs at least three letters, because a shorter one would match almost anything. For a short word like "HR", set Match to Contains the word. See how a keyword matches.
- If your plan changes: moving to the free plan pauses any connection set to Only what matches. Nothing is deleted, and nothing extra is copied. Upgrade again and it carries on, or switch it to Everything, except… to keep it running on the free plan. We email you when this happens.
- If a label or category is deleted: a Sync it rule that matched it can't pick anything, so the connection holds what is already copied rather than removing it, and we let you know the rule needs fixing.
- Repeating events: a repeating series is copied when the series itself matches. Renaming one occurrence to match doesn't bring the whole series across.
